ChatGPT with company data: what to prepare before connecting it

Review data, permissions, and business definitions before using ChatGPT or Claude to answer business questions.

Rumbleo team Updated

Diagram connecting company data, shared metrics and business questions through read-only access.
Agree on definitions and data access before asking the first question.

Start with the data the question needs

A business question does not always require sharing every record. Comparing monthly sales by channel may need only an aggregate result. Before connecting an assistant, decide which questions you want to answer and what each requires.

List the sources involved, their owners, and their update frequency. A chat querying an outdated table can produce a persuasive explanation of a situation that has already changed.

A column name is not a business definition

A column called revenue might contain created orders, issued invoices, or collected payments. If marketing uses one basis and finance another, the assistant needs to know which fits the question. Asking it to choose intuitively embeds an unresolved business decision in the answer.

Document the formula, governing date, exclusions, and currency. Add ambiguous questions such as sales this month, new customer, or margin by channel. Check when the assistant should ask for clarification.

Review the entire data journey

Distinguish the source connection, the system executing the query, and the provider interpreting its results. Review the data each receives, how the user authenticates, and which contractual and retention terms apply to the chosen configuration.

Read-only access protects the database against modifications, but does not by itself restrict what a person may read. Check permissions and query limits too. Never paste database credentials into a conversation.

  • User and company identity
  • Data authorized for the query
  • Time and volume limits
  • Error handling and activity records

Where Rumbleo MCP fits

Rumbleo MCP lets compatible assistants such as ChatGPT or Claude request analysis of authorized company data. The platform retains business definitions and executes queries through its read-only data access layer.

During an evaluation, ask what the assistant receives and test an ambiguous or overly broad question. A working connection does not establish that all your organization's data and questions are ready.

Run a small test before expanding

Choose questions with known answers and someone who can validate them. Include a question the available data cannot answer. The correct response should acknowledge that missing information.

Check the current documentation of the provider you plan to use. Data preparation and the selected configuration matter as much as the quality of the assistant's writing.
